1. Who we are

Horeca Global (horecaglobal.eu) is operated by RFR Sanayi ve Dış Ticaret A.Ş. (RFR Furniture), Basın Ekspres Caddesi No: 29, Istanbul, Türkiye, tax ID (VAT number) 0690381050. RFR Sanayi ve Dış Ticaret A.Ş. is the data controller for the personal data described in this policy.

2. Scope

Horeca Global is a business-to-business website for hotels, restaurants, cafés, contract furniture companies and other professional buyers. This policy covers personal data of contact persons at those businesses and of visitors to the website. It applies together with the EU General Data Protection Regulation (GDPR), where applicable, and the Turkish Personal Data Protection Law No. 6698 (KVKK).

3. Personal data we collect

• E-catalogue requests: company name, website, business type, country and city, and the name, job title, phone number and e-mail address of the contact person, the catalogues requested and any message you add.
• Contact and quote requests: name, company, e-mail address, country and the content of your message.
• Quote requests: company and contact details, business type, billing and delivery addresses, VAT or EORI number if provided, requested delivery term and date, products, quantities and project notes. No payment is taken online, so we do not collect card or bank account data on this website.
• Technical data: IP address, browser type, pages requested and time of access, recorded in the server logs of our hosting provider for security and error analysis. Your IP address is also checked against a country database to apply regional access restrictions; it is not stored for this purpose.
• Cookies: see section 8.

4. Why we use your data and on what legal basis

• To answer your enquiry, send the e-catalogues and price lists you requested and follow up on that request: steps taken at your request before entering into a contract (Art. 6(1)(b) GDPR) and our legitimate interest in responding to business enquiries (Art. 6(1)(f) GDPR).
• To prepare proforma invoices, process orders, arrange export documents and delivery: performance of a contract (Art. 6(1)(b) GDPR).
• To keep commercial records required by law, such as invoices and export documents: legal obligation (Art. 6(1)(c) GDPR; Turkish Commercial Code and tax legislation).
• To send information about new collections and price lists by e-mail, only if you have ticked the optional box for this: your consent (Art. 6(1)(a) GDPR), which you can withdraw at any time.
• To keep the website secure and working: legitimate interest (Art. 6(1)(f) GDPR).

We do not sell personal data and we do not use it for automated decision-making or profiling.

5. Who receives your data

Your data is accessed by the RFR Furniture sales, export and logistics staff who handle your request or order. We share it only where necessary with:

• our website hosting provider and e-mail service provider, which process data on our behalf;
• freight forwarders, carriers, customs brokers and banks, when this is needed to deliver and document an order;
• public authorities, where we are legally required to do so.

6. International transfers

RFR Furniture is based in Türkiye and this website is hosted in Türkiye. If you contact us from the European Economic Area, your personal data is transferred to and processed in Türkiye, which is not covered by an EU adequacy decision. We transfer the data because it is necessary to answer your request and to take the pre-contractual and contractual steps you ask for (Art. 49(1)(b) GDPR), and we apply the security measures described in section 9.

7. How long we keep your data

• E-catalogue, contact and quote requests: up to 3 years after our last contact, unless they lead to an order.
• Orders, invoices and export documents: 10 years, as required by Turkish commercial and tax law.
• Marketing consent: until you withdraw it.
• Server logs: up to 12 months.

8. Cookies

This website uses only cookies that are necessary for it to work: cookies that keep the products in your project quote, remember your cookie choices and give our team access to the website. We do not currently use analytics or advertising cookies. If this changes, we will ask for your consent through the cookie banner before any such cookie is set.

9. Security

Country detection uses the IP to Country Lite database by DB-IP, licensed under CC BY 4.0.

The website is served over an encrypted HTTPS connection. Access to form entries and order data is limited to authorised staff with personal accounts, and we keep the website software up to date.

10. Your rights

Depending on the law that applies to you, you have the right to:

• access the personal data we hold about you and receive a copy;
• have inaccurate data corrected and incomplete data completed;
• have your data deleted where it is no longer needed or was processed unlawfully;
• restrict or object to processing based on our legitimate interests;
• receive your data in a portable format;
• withdraw your consent at any time, without affecting earlier processing;
• lodge a complaint with a supervisory authority, such as the data protection authority of your EU country of residence or the Turkish Personal Data Protection Authority (KVKK).
